Subject: Tracking Examinations Packs
Hi all,
Here at Sheffield Hallam University, we facilitate our examinations by creating 'examination packs' for each examination activity. These packs contain all the required papers, stationery and instructions required to facilitate the exams and there can be more than one pack per exam in order to cater for split venues and learning contract students.
We're now reviewing our examination processes and was wondering if anyone uses a tracking system to monitor examination packs from creation to marking.
I would be grateful if you could answer the following questions:
1. Do you use examination packs to facilitating your exams?
Yes - we have "exam packs" from the start of the process - creation of exam question paper onwards, with check sheets/sign off sheets for all stages of the process before they come to my central team. We then track them from us to print unit, shrink wrapping and back to my team. They are then sorted into day, session and venue order (using spreadsheets) before being handed to invigilators prior to the start of exams. They are signed out and then scripts are returned to us OR if taken by the academic from the venue, have to be signed for by the academic. If they are collected from our office they have to be signed out again.
2. Who is responsible for tracking examination packs from creation, through logging returned student scripts and forwarding to module leaders for marking?
Depending on the stage of the process, Faculty admin staff and my central team.
3. How so you track/monitor these packs as they travel around multiple locations/campuses?
Spreadsheet
4. Is there a specific software package that helps you to track exam packs, e.g. scanning software?
No
