Your proposal must contain the following:
1. Hosting organization: The hosting organisation will take financial responsibility for budgeting in the run up and shortly after the conference (subject to BCS rules http://www.volunteer.bcs.org/Rules).
You should include the name of a senior member of the university who can guarantee that the university can offer support for the conference, and commit to availability of rooms, buildings etc, and a senior member of the university to welcome delegates.
2. Venue: Describe the conference facilities as well as hotels, student-type accommodation and potential venues for the social program. Atypical conference has required
a. One 200+ capacity hall for plenaries and 3 x 80+ rooms (one of which may be the plenary hall) for parallel sessions.
b. Breakout rooms for pre-conference events. The two days before the conference typically have 8-20 events varying from half a day to two days in length, usually termed workshops, tutorials or co-located conferences. Room size for these can vary from 5 to 150 with the norm being 15-20.
c. Coffee, tea and biscuits/snacks are usually offered mid-morning and mid-afternoon, free of charge to delegates
d. A simple lunch is usually offered Wednesday and Thursday (and sometimes on Friday) free of charge to all delegates registered for that day.
Lunch is sometimes also made available on workshop/tutorials days
e. Student Volunteers usually have a lockable room for their personal possessions as well as delegate bags, IT resources, delegate packs etc
3. Budget (plan): You should provide a breakdown of expected incomes and costs and a target number of each type of delegate for breaking even. See appendix for some historical breakdowns, and the BCS budget pro-forma
4. Committee (plan): Please name the general co-chairs and the senior programme chairs and provide a list of other organising and programme committee roles to be filled.
5. Profile of your event: Describe the focus of the event and the reasoning behind. What will make your event something special? Profiling the conference can involve a conference theme.
6. Slogan or Theme (historically most conferences have had a specific theme, while others have used the proceedings title ©øPeople and Computers©÷).
7. Sustaining the British HCI spirit: Describe how the conference will be inclusive both with respect to subfields and various professions, through announcing innovations or introducing new participation categories etc. Other things of particular interest: Such as a decision to provide a specific submission category or providing any interesting new activities, social program etc.
Proposals to host BCS HCI should be sent to the BCS Interactions executive committee via [log in to unmask]<mailto:[log in to unmask]><mailto:[log in to unmask]> . The selection decision will be made by the BCS Interaction SG Executive committee, and their selection decision is final, but subject to approval by BCS.
