Dear List
Can I ask for your advice
My office is being moved to the first aid room and I have some concerns re privacy, confidentiality and security of notes.
I am putting my case together to ask for part of the first aid room to be partitioned off with a lockable door.
I don't know where I have got the idea from. But I was under the impression notes should be stored in a lockable cabinet in a lockable room. Is this correct and can anyone give me the legal/ data protection rational that I can quote for this. Current suggestion is that they be stored in locked cabinets and that first aiders and managers will have access to the room via fob access.
Second question. I work for several businesses that are part of the same group. Each business is managed separately and there is no central OH provision, each company organises their own in house provision. One business is splitting creating a new company, but will remain part of the group.
Historically when moving notes from one business to another (even though It's still me who provides OH) I ask for written consent. HR is arguing that as they are all part of the same group it shouldn't be necessary.
For the members of staff who will be part of the new business should I request consent to move their notes to the new business.
All views greatly appreciated
