Collections and Database Management Assistant
Period of Appointment: Fixed for a period of 1 year
Salary: The salary for this post will be £20,637 per annum.
Reporting to the Collections Database Manager, this post is based in the National Portrait Gallery’s Digital Programmes Department. It offers an excellent opportunity for a graduate with FileMaker database development experience and experience using the MimsyXG collections database management package in a support role.
The post will focus on providing development work and support on FileMaker databases related to the Collections and other areas right across the Gallery’s range of functions, support work for Mimsy XG, and computer-driven data analysis of collection data, and correction and enhancement of that data.
The role provides essential support to the Collections Database Manager in the management and maintenance of consistent collections data and the maintenance of documentation standards and procedures. An effective collections database is essential to the efficient management of the collections and to the Gallery’s cataloguing and research programmes. It also crucially underpins the Gallery’s public access services, namely the touchscreen Portrait Explorer system for Gallery visitors, the search the collection facility on the NPG website, the Portrait Printer retail print operation and the Gallery’s Picture Library service.
Main duties
• Development work on FileMaker databases related to the Collections and other areas right across the Gallery’s range of functions, day-to-day maintenance and support and training of staff in the use of FileMaker.
• Assisting the Collections Database Manager in the day-to-day administration, maintenance, support and training of staff in the use of the collections management system MimsyXG.
• Conducting Access database extractions and FileMaker database driven analysis on the quality of data entry and ensuring that the collections data is accurate and consistent.
• Working through a set programme of data cleaning and enhancements to improve collections data.
• Implementing corrections on Mimsy in relation to regular updates of the public access systems.
• Assisting in further development of documentation and cataloguing standards and procedures and helping manage their implementation.
