At Bucks our process is similar to that described by Amy, we have always tried to slot latecomers into their appropriate slot but this is very stressful and there are some ceremonies that seem to deliver large numbers of latecomers! This year we are planning to move to the model where latecomers are grouped together and cross the stage at the end of the ceremony, this would include those who arrive once the ceremony has started, but obviously in a time frame that allows this to happen, we hope this will be less stressful. We do offer latecomers the opportunity to join the next ceremony where possible and can also offer a ceremony on the following day depending on where in the week this happens, this is not usually very attractive to the graduands who want to be with their peers so is reasonably rare.
We too advertise an early opening time of registration but some people seem to be resistant to information . . . . . .
It is helpful to know that others are facing the same issues and implementing similar solutions, thanks for this, Liz

Subject: Re: Late graduates - ceremonies
Dear Anne,
We run our late procedures in a very similar way to yours. Our students have to collect their tickets on the day of the ceremony. Our ticket desk opens 2 hours before the ceremony begins and closes 40 minutes before the ceremony start time. All students are warned on multiple occasions that if they do not collect their tickets within this timeframe, they will not be guaranteed to cross the stage. Once the ticket desk closes we collect all the remaining tickets and start to delete students from the ceremony.
Students who come late up to about 10 or 15 minutes before the ceremony start time are slotted in to their correct place. Any students who arrive later than this cross the stage at the end of the ceremony. If students arrive once the ceremony has begun, they are not allowed in, and unless they have extremely extenuating circumstances they are not allowed to attend the next ceremony.
Luckily it is very rare that students turn up once the ceremony has begun. Opening the ticket desk early means that students have plenty of time to get their tickets. As they need their tickets to get their gowns and have their photographs taken, this encourages them to get there early in order to get everything done before the ceremony begins.
I hope this information is helpful.
Kind regards,

Subject: Late graduates - ceremonies
Dear Colleagues,
We're in the middle of holding our awards ceremonies and had a challenging afternoon yesterday to say the least. We had an unusually large amount of late graduates and guests arriving (no cause - just late) which made the ceremony almost unmanageable for staff to co-ordinate under a great deal of pressure.
At Hertfordshire we endeavour to fit the late arrival in their correct slot, if not at the end of their cohort. Last resort is they are presented at the very end of the whole ceremony. If they are too late for that, we do not allow them to 'carry over' to the next ceremony as they are usually all full.
May I ask what your practice is?
I'd be grateful if you don't mind sharing your practice.
Many thanks,
Anne
