The IRMS is pleased to announce that as part of our Training and Development
programme we have arranged a series of site visits to a number of public and
private sector information/records management and archive facilities.
Over the next 12 months we plan to visit a different organisation each month and
examine various aspects of their hardcopy and/or electronic records management
activities. The organisations that we plan to visit include, for example:
- Dyson (Wiltshire)
- Filebase (Newcastle)
- National Rail Centre, Network Rail (York)
- TNT (Swadlingcotes)
- Deepstore (Cheshire)
- Flintshire Country Council
- Hull History Centre (Hull)
- British Geological Survey (Nottingham)
- National Archives (Kew, London)
- Iron Mountain (South East)
- National Archive of Scotland (Edinburgh)
As these fieldtrips/site visits are designed to fill a vacuum highlighted by
the recent IRMS Training Survey, I am delighted to announce that our
inaugural site visit will be to Dyson Ltd, in Wiltshire on the 9th August
(excuse the pun!).
We are now in the process of confirming dates/times of visit with all of
the organisations concerned and will post an update programme to the list
and IRMS Bulletin shortly.
Attendees:
Please note that as the number of attendees on each site will be strictly
limited at each site, places will be initially restricted to IRMS Members only.
Non members can still apply to attend, however, they will be placed on a
waiting list and advised closer to the date of the event if they have been
successful or not.
Please note that in return for hosting the trip, many of the private sector
host companies have asked to be able to review the list of attendees
prior to the event, and have reserved the right to restrict access to
competitors’ employees. This could mean that one storage company
is not prepared to host staff from another storage company. In Dyson's
case, however, competitors include any developers, manufacturers,
wholesalers of domestic electrical appliances and hand driers
(both the electronic and paper / fabric versions!).
Dyson Ltd Visit - 10.30am - 3.00pm Tuesday 9th August, 2011
Overview:
Dyson have offered to host a visit to look at their innovative approach to
automated electronic records management.
Introduction:
Dyson are following a strategy of managing electronic records “in place”
and are about to deploy a new Product Lifecycle Management (PLM) system
which will do exactly that. This strategy is being delivered via a set of IM
requirements which are referenced at every stage of an IT project from
software selection, through design and build, to testing.
Electronic Records Management:
Dyson are going through a transformation in terms of business processes
and systems and by 2014 plans to have automated electronic records
management embedded within each key line of business application.
Alongside this they are developing automated electronic records management
for the standard desktop applications, and have recently deployed a bespoke
application (Index) to automate the disposal of files on windows file shares.
Due to the confidential R&D and prototyping work undertaken on this site
we will not able to undertake a guided tour of the facility, however, we have
been promised both demos and a hands-on experience of their records
management software. This will be accompanied by explanations of the
technology, and overviews of the planning and change management activities.
