Medical Sociology Online – Journal Administrator
Job Description:
This is initially a fixed term consultancy contract for a one year, freelance post on a part-time basis (estimated to be on average 2 days a week). The journal administrator plays a key role in providing IT and administrative services to the Editorial Board of the Medical Sociology Online journal. This post supports the work of the Editorial Board that is responsible for all aspects of content management and publication of the journal. The Journal Administrator forms a vital link between the Editorial Board, members of the medical sociology community, academics, and external organisations. They are the main point of contact for all internal and external contacts and enquiries are responsible for the journal’s web presence.
Main Duties
o Create and maintain the website for the journal Medical Sociology Online.
o Develop and maintain electronic information storage and retrieval processes for the submission and follow up of articles for publication.
o Be the main contact point for internal and external queries. Use initiative and discretion to action items requiring immediate attention.
o Provide routine administrative support to the Editorial Board to support the management and publication of the journal; responsible for the organisation of a variety of internal and external meetings, dealing with correspondence and distributing papers as necessary.
o Ensure typing, layout and preparation of documentation for Medical Sociology Online journal and external bodies is of a high standard. Responsible for ensuring the confidentiality and security of documents is maintained.
o Organise archiving of previous editions of the journal.
o Assess and set work priorities and deadlines to ensure publication dates are met.
o Any other duties as may reasonably be requested by Editorial Board of Medical Sociology Online.
Person Specification
o Educated to degree level with a qualification in IT.
o Excellent knowledge and understanding of the principles of web hosting and architecture and demonstrable evidence of creative design, preferably of websites.
o Sound knowledge and experience of a range of IT packages, and competence in the use of word-processing, spreadsheets and databases and a willingness to learn open access publishing systems.
o A good understanding of the principles of Academic Journals and the requirements for authors seeking publication.
o Excellent administrative skills with proven ability to prioritise own workload, manage several tasks simultaneously and to use own initiative and judgement where appropriate.
o Ability to work accurately and effectively under pressure, while paying a high level of attention to detail especially when styling and editing documents.
o Experience of management information systems to obtain, extract and analyse information relevant to the journal.
o Evidence of being an effective team player with a flexible and adaptable team focused approach and excellent communication and interpersonal skills.
o A willingness to learn new skills and to be responsive to changing duties and working practices in a flexible and positive manner.
o Experience of working with a strong customer service focus and in a fast paced environment.
