I put a similar question on the list last Summer - summary of my responses
below, in case it's still useful.

Volunteer expenses
Dear colleagues,
Thanks to those of your who responded to my enquiry regarding volunteer
expenses - I had replies from 13 institutions: 7 local authority services,
3 university archives and 3 in other archive institutions.
6 respondents said their institution had a general policy of not paying
expenses, whilst the other 7 did offer expenses. Of the 7 local authority
respondents, the split was again roughly half-and-half (3 not paying, 4
paying). It should be noted that I include in the 'not paying expenses'
catergory a couple of respondents who said they did have exceptions to
their general no expenses policy, where they had/did pay expenses to
individuals who they felt were a special case.
Out of the 4 local authority services who said they paid expenses, 3 serve
relatively compact areas in geographical terms (2 were in London, the other
was described by the respondent as a 'small county'), which might arguably
make paying travelling expenses a less daunting commitment.
One respondent stipulated in their volunteer policy that volunteers had to
commit to a certain minimum number of hours work in order to qualify for
expenses.
The obvious area for expenses claims are of course travel, but a few other
offices said that they (like us) now also offer to reimburse on-site car
parking charges. A couple mentioned the issue of childcare expenses (though
no respondents were planning to pay these kinds of expenses).
So, if anyone following this thread was hoping for a decisive majority to
help resolve this question, I'm afraid I have to disappoint you! Still,
food for thought ...
Regards,
Stuart
