Extranet sharepoint sites  

Does your team or project group need a collaborative site? 



Sharing information, discussion, and tasks 

Working with a limited group of people 

Including outside partners  

Working in a secure way

If so, then an EXTRANET site based on Sharepoint could be the solution.



Benefits 



Allows Cranfield university staff and student groups to collaborate with a small number of outside partners 

The site is secure and password protected but can be accessed by site members anywhere 

Security controls allow owner to control read/write access in a granular way using permissions and groups 

The site structure is very flexible, allowing extensive customisation according to needs 

Functionality includes libraries, lists, templates, version control, workflow, sub-sites, and search 

Sites can include pages, documents, announcements, calendars, tasks, blogs, discussion, wikis 

Sharepoint can be an easy startup for owners 

Strategic support and backup by IT dept 

Sharepoint is a successful platform in industry, enhancing personal development 

Do I need a sharepoint extranet site?



If your team or project needs to share information with a large number of outside people then a Sharepoint extranet site is NOT the solution. You need an INTERNET based site.



If your team or project needs to share information with just Cranfield university staff and students then a Sharepoint extranet site is NOT the solution. You need an INTRANET based site, probably using Sharepoint or the Blackboard VLE.



If you need an EXTRANET and you think you qualify for an extranet Sharepoint site, then use the request form below.



If you have a sharepoint extranet site YOU need to 



Submit an S07 Username Request form to the IT Service Desk (IT, Building 63, [log in to unmask]) for each outside partner. This form requires: 

- Title

- First Name

- Surname  

- DOB (for unique identification)

- Start/end dates

- Status

- Exact name of your extranet site (so the IT Service Desk can add the site name to the username profile. When an extranet site group is added to a username it can take up to 24 hours before it synchronises) 

- Partner's business email address for communication

- Your details and signature as sponsor (required for us by Internal Audit)

The IT Service desk will send YOU the account details for the partners. 



If you have a number of external partners, part A of the S07 form that the third party fills in can be placed online to make administration easier. 





When individual partners have a username, give them access on the sharepoint site, as a Visitor (READ) or a Member (WRITE) 



Send individual partners their username/password and instructions on how to login



Control future read/write access permissions for groups



Customise your site as you require it 



Renew the partners accounts when prompted by the IT Service Desk -  otherwise they will lose their account

Dear All,



At Bath we get a lot of requests from research groups asking us to create websites for collaborative projects. This includes hosting and often registration of different domain names. Requests are generally at short notice and require a huge investment of time to either investigate or develop.



Does anyone have a policy or system regarding these kinds of requests? We have one for domain names but not for hosting and I am keen to put something together.
