Anonymised data is all well and good when looking at the general status of a
population of employees but doesn't allow management to make specific
adjustments for individuals i.e. the provision of an air-flow mask, personally
moulded ear-plugs etc etc.
The way I work is to use a carbon triplicate report pad for each individual. It
doesn't contain sensitive information but there is a box for the result
(satisfactory or non-satisfactory) a space for recommendations (please
provide x type of glove) and a review date. The employee signs to say that
they are happy for the release of this information to their manager and the
H&S manager. One copy goes to the mangaer, one copy in the notes and the
employee has a copy. I find that this works well, satisfies issues around
consent and allows management to manage individual cases and requirements.
Managers keep this record as part of the employee health record and can use
it to satisfy the requirements of a HSE Inspector should one call. Once there is
consent to release the information in that format I have no issue with collating
it into a spreadsheet for ease of recall purposes (I don't have fancy OH IT
systems!)
I send a final report with anonymised group data at the end of a health
surveillance contract.
