I would personally disagree with the statement. We did a cost/benefit
analysis on the scanning v storage of 30,000 records that equated to:
990,000 scanned images v the storage of 1,500 boxes of records.
Retention period was 10 years.

Cost of scanning v storage over the 10 years (including storage,
retrieval, disposal - scanning, indexing, edm/web portal, pre and post
QC in line with BIP0008, disposal of original) was the same. Cost of
scanning and EDM was more costly upfront, but over the 10 years was the
same. Obviously EDM was one-off and therefore 50% savings for scanning,
indexing, etc via the EDM for any other services.

There are far more none-financial benefits for having records scanned
(accessible, centralised, standardised, access control, back-up, etc,
etc)

I know that it is stated by a number of people that is it not worth the
financial
cost of scanning if the material being scanned is being kept for less
than 20
years. But ...

Has anyone actually done the calculation [including the costs of the
intellectual management of the paper files pre and post scanning] *and*
the
cost of digital preservation post scanning - particularly when the
retention
period is more than 20 years.

If so could you share this information please?
