Position: Records Helpdesk Operator

Location: GlaxoSmithKline, Brentford
Reporting to: Records Manager

Working Hours: Monday to Friday 9.00am – 5:00pm
Salary range: £22,000 to £23,690
Purpose of role:
The main area of responsibility for the role is to provide day-to-day records
management helpdesk services to GSK House and Stockley Park. This involves
organising box movements to and from the company’s storage provider, box
creation, training and support for staff in the use of the records management
database, and monitoring service levels. There is additionally the requirement
to support the client in the use of a knowledge management package,
Documentum.
Key responsibilities:
To ensure that the records management helpdesk at GSK House provides a
fast and efficient service to the client
Manage the GSK House records database, ensuring it is always up to date and
accurate
Liaise with the offsite storage provider for daily deliveries
Liaise with mail room at GSK House for delivering boxes to clients
Assist staff in creating new boxes and uploading that information, including
retention periods, onto the records management database
Train new users in the records management process, and also help users with
queries
Maintain Service Level Agreements with the client and storage provider
Regularly monitor and collate statistics on the use of the records management
service
Perform administrative tasks relating to the ongoing maintenance of
Documentum
To liaise directly with the Records Manager on a regular basis to give updates
on workload and issues so that the client’s requirements can be effectively
managed.
Develop effective working relationships with clients and colleagues to promote
a strong working team.
Manual handling of boxes is sometimes required
Other responsibilities administrative / procedural:
To ensure all administrative duties are met in an accurate and timely fashion
Attend regular team meetings and minute when needed
Participation in records management project work as dictated by need,
including departmental ‘clear out’ days, filing surveys, etc
Any ad-hoc duties as requested by the records manager
