Scope of Work
The Consultant will be based at the Iwokrama International Centre for
research and sustainable Development in Georgetown, Guyana. Regular visits
to the field station within the Iwokrama rainforest will be undertaken as
necessary.
During the project period it is expected that the consultant will undertake the
following activities, inter alia:
• Design basic structure of archival catalogue, identifying likely classes of
material and listing criteria
• Evaluate open-source content and delivery systems, and database solutions,
and select a final option as the basis of the archival catalogue
• Design catalogue ready for inputting of piece level data
• Verify records for priority phase 1 uploading (e-reports) and testing
• Verify inventory/disposal schedule
• Appraise information for inclusion in archive, phase 2 (likely to be board
minutes and papers);
• Develop priority plan for cataloguing, scanning and uploading selected
remaining records into the e-archive
• Produce acquisitions policy and appraisal criteria, in consultation with key
stakeholders
• Test catalogue and delivery system in-house and address issues arising
• Develop criteria for and source reliable ISPs and obtain estimated service
costs
• Develop remaining archival policies
• Complete further in-house testing of catalogue and delivery system in
preparation for online launch
• Design corporate electronic-filing plan that builds on good local practice
• Develop a general records management procedure for all staff, and policies
on filing and naming conventions, back-up of information, and disposition. Host
catalogue and contents with either current ISP or new provider and test
system further. Ensure it works with common internet browsers with no special
configurations or plug-ins needed.
• Check staff training material
• Complete final appraisal of all information created by IIC, including datasets
and GIS information and plan for the regular accession of this material into the
archive
• Load sample selected data into the archive (including open source format)
and develop a digital preservation strategy for this
• Provide training in records management procedures to staff and to partner
staff (NRDDB) where appropriate
• Provide mentoring to IIC counterpart officer throughout posting
