As part of implementing the EDRM component of our ECM we are looking at
what metadata we need to be capturing to assist with locating and managing
our records and documents.
Whilst I am aware of the e-gms and MOREQ 2 metadata standard/models in
terms of reviewing the types of metadata elements we might require to be
captured; does it matter how this is captured if the aim - e.g, to find it is, is
satisfied in another way?
For example, we have used the LGCS as the basis for the classification
scheme/fileplan and would like to utilise the mappings of the IPSV to also
enable subject based search for documents. While I presumed that
documents/records within the classification scheme would also be tagged
(xml?) with their IPSV mapped term/s, I was presented instead with an
alternative fileplan view of according to IPSV, which I am told is achieved
with some trickery(!) within the system rather than tagging the documents
with the relevant metadata.
Ultimately I have what I wanted as an end result, (search and browse based
on subject) - but I'm concerned about establishing the precedence of relying
on a proprietary way of achieving our aims in terms of
stabilising/futureproofing the management of our information and also in terms
of demonstrating authenticity and compliance with e-gms/e-gif.
Is this simply the way it's done or do I need to specify that we need metadata
to be tagged to a document in a set format?
I'd be interested to know if there any stipulations on how metadata is
captured and/or the benefits of doing it one way or the other.
Any thoughts/experience on the matter would be much appreciated and
apologies if this posting appears confused, because I am!
