The majority of our readers are registered with us, as we are not part
of the CARN system, and have ticket numbers which they use instead of an
address to sign in. This means that only a very few addresses are
visible, and the Reception desk is rarely left unmanned, so that casual
visitors cannot browse the previous pages.

Following Frank's recent enquiry about visitors' books and data
protection, I thought some list members might be interested in our
low-maintenance solution.
We were concerned about readers' names and addresses being left on
display in a visitors' book.
In addition, it can be difficult for us to manage signing-in, as we have
a very small staff. In effect, our system has to be self-service.
We now have a pad of pre-printed signing-in slips, A6 size, on our
reception desk. Users fill-in a slip, then tear it off and post it into
a lockable postbox attached to the wall next to the desk. Slips are
counted at the end of the day and are stored for a limited time in a
strongroom.
We have been using this system for several months, and it seems to be
working well.

I am looking at implementing a signing in procedure for our readers,
using a daily sheet on which readers fill in their name and address.
Have any other archives had any problems with similar procedures with
regards to Data Protection? Is the fact that other readers can see who
has signed in previously that day been flagged up as contravening the
Data Protection Act?
