Although it is designed for Australian Commonwealth Government agencies,
you may be interested in the National Archives of Australia advice "Can
I use shared folders to manage records?" available at
http://www.naa.gov.au/records-management/systems/shared-folders.aspx.

I speak for me, not them, but I did write this advice - some time ago.

Subject: Guidelines for managing files on shared drives
Does anyone have guidelines for managing files on shared drives?
As part of a new initiative there will be a limit on the amount of
electronic
information (word, excel, powerpoint, specialised software files) any
one
individual can keep on the shared drives.
Has anyone experienced this before? Do you have guidelines for managing
files
on shared drives in terms of what should be kept and for how long?
Any information would be gratefully appreciated!
