Dear Delegates

With 5 weeks to go now, there is a lot of hard work going on to make sure
that your time with us is both enjoyable and fruitful.  The Local Organising
Committee is getting very excited about the upcoming Congress and can’t wait
to welcome you all to Durban!!   

We have put together some information which we feel is of importance to all
delegates. Please read and take note of ALL the points listed below.

REGISTRATION

Some people seem to be under the impression that they can no longer register
- THIS IS NOT TRUE!  Please forward your registration forms to
[log in to unmask] (blank forms can be downloaded from the Registration
page on the Congress website, or email the Secretariat who can email a form
to you).

Confirmation letters MUST be brought with to Registration.

Please send in your registration forms timeously along with payment details.
 Having everyone's details prior to registration on the 20th July makes for
a quicker, more pleasant experience on the day.

If you have not received confirmation of registration please note that this
might be because of one of the following reasons:
 
We have not received your form
We have been unsuccessful in processing your credit card (you will be
notified after 3 attempts)

We have been unable to trace your payment on our bank statement (please
forward copy of your payment as this makes it easier for us to match
payments to delegates)
OR, we are snowed under and are getting there!  Please query
non-communication after a few days only, please don't expect that we will
have processed your registration as soon as it is received (although we will
try our very best)

PROGRAMME

Please check the date and time of your presentation regularly as the need
might arise for this to be amended.

Please check the format of your presentation as this may have been altered
from what was stated on your acceptance letter.

If you have not registered and paid we will unfortunately have to remove
your details from the printed programme. We will however leave your details
on the website version until closer to the time - please contact the
Congress Secretariat URGENTLY about this if you have not registered but are
still attending.

Please note that due to time constraints all 1 1/2 hour workshops are now 45
minutes
There will be a programme preview room at the congress where you can preload
your talk
There will be laptops and dataprojectors in all venues 
There will be technicians available should there be problems with the
equipment - please do not try to fix it on your own, this is very costly
equipment to replace

ACCOMMODATION

Please urgently advise the Congress secretariat on [log in to unmask] of
which hotel you are booked into (from those listed on the website
accommodation page).  We need to know where all delegates are staying in
order to plan properly for the daily shuttle service between the hotels and
the ICC.  If we are not notified of where all delegates are staying this
might result in a situation where there is insufficient transport.

Shuttle timetables will be posted below closer to the congress and will also
be on display at all the hotels listed on the congress website - please take
note of these times and make sure that you are ready and waiting for when
the buses arrive (we cannot take responsibility if you miss the bus!)

If you made a booking for the Howard College Residence and have not been
communicated with about your booking in the last couple of days, please
urgently get in touch with the Congress Secretariat on email:

AIRPORT TRANSFERS

Please note, the Congress is NOT providing airport transfers - please book
directly with the Airport Shuttle Service which will have buses waiting
outside Durban International Airport Domestic Arrivals.  The buses will be
clearly signed with "IASSW 2008 CONGRESS" and will leave roughly every 30
minutes to the Beachfront hotels and this will be charged at around R50. 

If you require, on your departure, to be collected at a specific time from
your hotel to the airport please contact them for advice - the amount for
return trips outside of the normal shuttle times will be more expensive, but
please enquire about this timeously.

YOUR RETURN AIRPORT TRANSPORT MUST BE PRE-BOOKED AS THE SHUTTLES WILL NOT BE
GOING BACK TO THE HOTELS EVERY HALF HOUR TO THE AIRPORT

REALITY TOUR/SITE VISITS
 

If you have registered for the "Reality Tour and Site Visit" please check
the list which will be loaded on the website by the end of this week (link
from the home page) to see if your name appears and which site visit you
have been put down for.

If you have sent your information to us and your name does not appear on
this list please email the Congress Secretariat on [log in to unmask]

Please remember to bring along cash in South African Rands as the
communities which you will be visiting have worked very hard preparing for
your arrival and have wonderful crafts for sale as well as various food
items and/or refreshments (lunch for the Reality Tour) which will be on sale
to those attending.  The craft items, you will no doubt be very sorry to
miss, if you have already spent all your budget allocation for gifts to be
taken home!!


SAFETY

Our best advice to delegates is

don't carry valuables that are visible 
do not walk alone and in areas that are not well lit, always walk in groups
do not leave laptops / cameras etc on buses, in venues etc

The Congress Secretariat is extremely busy at this time preparing for the
Congress so should your emails not be answered immediately, please know that
they will be answered shortly.
