Hello, everyone. I have sent a separate email with the same details to
local editors. I know it is difficult for some of you to cascade
information down and this way we know everyone should be up to date.

The local editors email is based on the email addresses in the database but
I am anticipating some bouncing back as being now out of date. Hope also
that the large number gets through your firewalls, hence the idea of
separating them.

There are a few issues I wanted to mention.

1. The Network Search on the website. This is now populated from data in
the Collaborative Network field and is important. A lot of people are
searching that way and it underpins one of the next developments which will
offer a printed directory option based on the data in these fields. So
could you focus on this updating this field when you get a chance?

2. Library name. We still have some anomalies about library name. Could
you check the editors guidelines for how to decide what this should be on
the database? The latest version in available on the right hand side of
the screen once you are logged in. You can rename the records yourself - it
doesn't have to be done centrally.

3. Sending for approval. Could you make sure that you only send one update
for approval at a time? Any number if fields can be updated in one session.
If there are a number of updates for the same record in the approval queue
at once, they overwrite each other when approved. So if only some fields
are updated on each one either some data will be lost or the Group Editor
has a lot of work to do in order not to lose the information.

4. Getting up to date. Could we ask you to update entries that are over 6
months old when you can. Even if there are no changes, they need to go
through the approval process in order for the 'Record last updated' date to
change. Could we try to get that done by 31st January?
