Hi Lee,
I don't have a specific policy that would meet all of the particular UK
requirements, but I can point you to some resources.
- Email Rules, by Nancy Flynn and Randolph Kahn, Esq., addresses email
policies with an eye towards compliance - admittedly US-centric, but
extensible in concept to UK-specific requirements, available from any online
bookseller or directly from Nancy Flynn at http://www.epolicyinstitute.com.
- "Guidelines on developing a policy for managing email" - The National
Archives (UK), 2004, used to be on the website but I couldn't locate it just
now.
- "E-Mail Guidelines for Solicitors", The Law Society, 2005,
http://lawsociety.org.uk/documents/downloads/emailguidelines.pdf.
Legal-specific but again may have some usable principles for your
organization
- "Institutional Records Management and E-Mail: Generic Policy for E-mail
Retention and Disposition", JISC,
http://www.lboro.ac.uk/computing/irm/generic-policy.html.
Finally, for those on the list who may be familiar with the AIIM courses, I
am presently developing a similar course on email management which should be
available sometime early in 2008, one outcome of which is to present a
sample policy that users can customize for their organization's needs.
Hope this helps,
Jesse Wilkins
