I would echo the other responses.
Consider also your other retention policies - particular those (given
the nature of your organisation) relating to personal data.
If your retention policy says you keep category X for three years, and
on your own admission you are keeping 7 years in the form of a back up,
you are breaching your own policy, and probably as a consequence , for
personal data , breaching DP principle 5 ; "shall not be kept for
longer than is necessary " as you have clearly decided it is only
necessary to keep that data for 3 years.
