Job Title:        Media Manager (Production Based Team)
Department:       Information & Archives

WHO ARE WE?
 
BBC Information and Archives (part of BBC Future Media & Technology)
comprises departments in London, Caversham and the English regions
(department of 480 people), and is a key contributor to the
programme-making process.  I&A manages one of the world's largest
audiovisual archives, in an environment where new technology,
digitisation and creativity are at the forefront of developing access to
this very valuable resource.
 
There are many different collections from which information and content
can be sourced e.g. BBC television and radio programme output, music,
information research, pictures and documents. The department adheres to
a media management policy for the archiving of material. This fulfils
our Charter obligations as well as the business functions of utilising
existing material for re-use.  I & A provides a delivery service for the
BBC's archive content to all our customers including BBC programme
makers, policy makers and some external clients.
 
The department is facing radical change with the move to digital media
asset management and the increasing provision of services online rather
than through traditional service methods. 

PURPOSE OF THE JOB
 
BBC Information and Archives is responding to technological developments
that are changing the way  programmes are made and delivered to end
users by developing a new core competency namely Media Asset Management.
Information & Archives is therefore looking to develop their
relationship with the BBC through a strategy which will see the BBC
content creating community, as well as I&A, taking on greater
responsibility for managing digital output from current and emerging
production and archive platforms. 

Although the work of I&A covers all conventional media, it needs to
further develop the necessary skills, equipment or business processes
and relationships to manage media effectively so that information and
content flows into the archive and becomes available to others.
 
Teams of Media Managers, supported by central archive staff, are
physically placed within BBC production and support areas to assist
upstream archiving and the application of appropriate metadata . Their
tasks depend upon the main activities of the media environment in which
they work: video, audio, document or online.  

CORE TASKS

Provision of a comprehensive and customer oriented multi-media asset
management service to BBC, Independent and external customers. This may
include research, cataloguing, documentation, acquisition and selection
activities. 
To support and if necessary participate in the development of I&A online
services including training I&A and other BBC staff. 
To contribute to the transition from traditional information management
in the analogue environment to media asset management supporting
archiving and production processes, as well as managing media and
metadata, in both online and tape-based digital content environments. 
To support the delivery of the I&A customer service charter and the
promotion of I&A services across the BBC.  This includes the provision
of key performance indicators to report on use of the service and inform
future developments. 
The post holder will be required to travel across all BBC sites as
necessary.  Core hours of work 9.30 am - 5.30 pm, Monday to Friday,
although the post holder is expected to work on any day at any time if
the occasional and essential needs of the BBC or the service so require.



SPECIFIC DUTIES AND RESPONSIBILITIES

Take a leading role in auditing existing assets and associated
electronic and hard copy information. 
Measure practice against BBC archive policies and work towards
compliance. 
Build and maintain close working relationships with departments to
select and document material for preservation. 
Propose a method for, and co-ordinate, the preservation of selected
material. 
Evaluate archive and production technology appropriate to business need.

Proactively promote best archiving practice both internally and
externally 
Assess business processes using functional analysis and determine how an
archiving strategy might affect those processes. 
Advise on and develop processes and cost effective solutions for
capturing content and rights data. 
Communicate agreed solutions to production staff and supply appropriate
input into training exercises. 
Utilise expertise in archive management and technical solutions within
Information and Archives. 
Facilitate research by knowing where media assets are stored. 
Advise on I&A's research services and resources and contribute to
programme ideas where appropriate. 
Act as the point of contact for all BBC Information & Archive services,
directing enquiries/research where appropriate. 
Promote a knowledge management strategy that will assist with the
development of corporate services. 
Liaise with other departments and BBC partners as appropriate e.g.  BBC
Research & Development, Siemens Business Services. 
To support the enhancements and ongoing developments to current media
asset management systems 




PERSON SPECIFICATION

ESSENTIAL

One of the following - a recognised professional qualification in
Librarianship/information work, or a qualification relating to archives
or record management, or a higher education qualification closely
related to the work of the service concerned, or substantial relevant
experience. 
Experience of working in a strongly customer focused environment. 
An interest in the application of information management skills within
the traditional broadcasting environment and new services. 
Experience of working under pressure to tight deadlines. 
Experience of planning and prioritising. 
Knowledge of Microsoft Office - Word, Excel, Outlook. 
Knowledge and experience of electronic library systems and various types
of cataloguing formats 
Excellent communication skills. 
Flexible approach to a wide range of duties. 
Knowledge of BBC programme output and the content creating process. 
Knowledge of broadcasting technology practices, relevant regulations,
BBC aims and objectives. 
Ability to work without direct supervision 
Effective team player

DESIRABLE

Knowledge of research services provided by Information & Archives 
Knowledge of archive services provided by Information & Archives and the
processes by which BBC material reaches the department 
Some awareness of copyright issues 
Awareness of technical issues such as media formats, aspect ratio, and
sound levels 
Experience of project management/co-ordination 
Knowledge of digital production and post-production systems
