Hi Jacqui,
First of all, I suggest meeting with the manager to suss out what he is
wanting to achieve. There are many different methods of auditing
Occupational Health and it depends entirely what you want to find out (or
hide) as to which method you use.
If he is wanting to time manage, it suggests that he is looking to either
improve the quality of the service or reduce the costings so you would be
looking at standards/efficiency based audit / cost effectiveness study.
The starting point for a lot of this work is standards based anyway: i.e.
what should you be doing; how should you be doing it and how often should
you be doing it. Legislation, ACOPs and clinical standards etc. are
therefore your starting point.
When you have determined that, you can break down the activities to
determine skill mix that could be doing the job i.e. Specialist
Practitioner, Supervised RGN, OH Technician, Admin. And what equipment you
have to do the job or would help to do the job quicker.
From then on it's a cross comparison of both time and money. I suggest
taking it to the money as many managers understand that language better than
all the rest!
You may not need to employ an external person to audit, but suggest getting
a temp into cover your workload so that you can do this yourself. If you are
aware that there are things that you can do to improve the department, you
can do these in the process of auditing and get more out of the process than
someone telling you what you already know and haven't had the time to do. A
temp is likely to cost a lot less than an auditor and you and your manager
can work together on the project to be able to build the
relationship/understanding as well as quality.
Hope this helps

Subject: [OCC-HEALTH] working days
Hi all
i am about to be PDR'd by my HR manager (he has been in post approx 1 yr)
and he recognises OH work hard (- greying hair/hand tremors/cold
tea/uneaten lunch and a startled look really give it away dont they!).
while he is not questioning what we do or how/why we do it, he is eager
that time is used effectively so that the dept can become more proactive
and he wants to look at workload. he is forward thinking and knows that OH
is unique in that much of our work cannot be observed by the inhouse work
studies team.
He also would like to help/support the dept by paying for a time managment
course.
anyone know of any good ones for the type of work we do?? as our inhouse
ones dont really fit OH.
has anyone any guidance on auditing of OH depts for small (2 nurse) OH
teams outside the NHS and does anyone know if there are any clinical
supervisors who visit OH nurses and formally advise the business on the
levels of service they are getting and provide a formal report saying "you
have a fab team and they work too hard!!"
