Hi Vicki,
Don't forget that as well as scanning you also need to index the documents
(enter the metadata etc). It is the latter which is usually more difficult.
Your in-house staff would typically be able to do this better if (and it is
a big if) you have the resources & time.
If done by a bureau, I have seen prices of around £25 per thousand sheets
for scanning quoted, plus say a further £10 per thousand if preparation
(such as staple removal) is required.
For Indexing typically between 5p and 10p per field, depending upon the type
of data.
If you want the work doing offsite you would also need to pay transport
costs (say £250 for every 200-300 archive boxes). And then you would need to
pay for either their return, or storage or destruction.
To get more accurate costs you would need to determine your exact
requirements, and look at some sample documents etc. Any particular issues
you have could significantly increase costs.
And get quotes from several scanning bureaux, prices seem to vary widely.
It is also wise to get some samples scanned and indexed by any bureau, and
if you are satisfied with the quality get them to confirm in writing that
they will be using the same equipment to do the full job.

Steve Norris

Subject: Backscanning
Hi,
I was wondering if anyone has attempted a back scanning project, i.e.
scanning on all your paper documents and destroying what you can. I would
be interested to know how people approached this project, did you outsource
to a private company or do it in-house? I also wondered if anyone would be
willing to share approximate costings for a project like this.
Thank you for your help
Kind Regards
