We're not using a conventional EDRMS at present, we're experimenting with Calm for Records Management to operate a 'virtual' records centre to integrate management of both hard copy and electronic records. Primarily we planned to use Calm to manage our classification/file plan and retention schedule. It isn't designed to take you to specific documents, although it can do this through electronic links and a supporting document store. It does have a very good search facility and an easy way to lay out records hierarchies and kinships.
The 'virtual' bit is because we are not likely to establish our own records centre but we will still need to have some central means of inventorying and tracking the life-cycles of all our records - on site, in area offices, in commercial storage, on the general IT network, and in the big line-of-business systems: finance, HR, Electronic Social Care Record etc.
Early days - but things are going quite well with building the classification and migrating the corporate retention schedule from Excel. The time-consuming task will be to get consistent, meaningful data about the files themselves - if our records survey was anything to go by.
Should mention that for us, Calm for RM is a cheap option since Calm for Archives is already used by the County Record Office, and the sister library system, Galaxy, is used by the County Library & Information Service. Total start-up cost was around £7k, including 3 user licences for the central FOI/RM team.
