If records really are vital i.e. those on which business continuity
depends, then there really is no option but to take specific action to
protect them by, for example, copying and dispersal, fire proof storage,
etc. Fire proof in this context goes beyond the sort of protection which
clearly failed to work at IM's facility.
Our IT colleagues understand this concept well and most organisations
protect their line of business systems with distributed storage, off
site facilities and specialist recovery sites. The same needs to be
provided for vital records in other media and business continuity
planning is a good star to hitch the vital records wagon. But you need
to be sure that you have really identified what records are vital.
Insurance requires a measurable and quantifiable risk which is difficult
to assess when dealing with records of any kind. How long is a piece of
string? Protecting vital records will certainly be cheaper and more
effective.
