A week or so ago Bruce (13/07/06) circulated a link to a helpful note
produced by Kieran Byrne about the maintenance of reference data by EH Data
Standards Unit:
I would like to add a couple of additional points to clarify things for
existing and potential users of exeGesIS HBSMR...
1. EH thesaurus upgrades for HBSMR will normally be issued by EH every 6
months, checked by exeGesIS, then made available to all users to download.
The timing is not linked to the release of HBSMR upgrades. These thesaurus
upgrades can be used by anyone on HBSMR v3.0 or later, using the "Thesaurus
Upgrade" admin function. This function carries out all the processing to
roll your data and thesaurus browser onto the new release. Each thesaurus
release has a version number and date.
2. After discussion with EH, we can clarify that terms should never be
wholly removed from the thesauri, but they will sometimes be changed from
"preferred" to "non-preferred", or from "index" to "non-index", in which
the thesaurus browser will show links to the recommended "preferred" terms
or other guidance on how index. The HBSMR thesaurus upgrade procedure
identifies records affected by these changes, and provides the tools to
update these records globally.
3. Candidate terms can be submitted automatically to Kieran from HBSMR,
using the "Submit Thesaurus Candidate Terms" admin function. If for any
reason this does not work with your particular email software, you can
instead run the "Thesaurus Candidate Terms" report from the Main Menu >
Reports menu, which can be exported/printed and posted/emailed to Kieran.
