Dear All
I have now mailed everyone on my list directly so you should now know the status of your bid to attend the Tier-2 workshop and tutorials. If you expected to hear something but have not then please contact me directly.
For those of you whose bids were successful this is what you need to do next.
1) Remind yourself of the GridPP travel policy http://www.gridpp.ac.uk/meetings/Travel_Policy.html
2) Download, complete and submit the travel request form: http://www.particlephysics.ac.uk/research/travel-and-claim-forms.html. As explained on the form template you will need to email your request to [log in to unmask] The project code to use is FL69000. For the org unit (which all universities have) see Annex B in
http://www.particlephysics.ac.uk/research/travel-and-claim-forms/PPDOverseasT_SprocedureDec05.pdf. The reason to travel is "to attend the WLCG Tier-2 workshop (12th-14th June 06) and WLCG Tier-2 tutorials (15th-16th June 06) at CERN, Geneva". YOU MUST submit your travel request form before booking travel, but you may wish to book your CERN hostel accommodation now to avoid disappointment (the booking can be cancelled without cost providing sufficient notice is given to the hostel). Generally you will only hear back if the travel request is not successful - an oddity of the current system. If you are not familiar with this approval process or something required for the form please speak to colleagues in your department who can probably help.
3) Email the CERN hostel to request a booking for the period you will be at CERN (for most this will be from the night of Sunday 11th June until Friday 16th June). The CERN hostel can be reached via: [log in to unmask] You can find more details here: http://housing-service.web.cern.ch/housing-service/hostelwelc.html. You are STRONGLY advised to book your accommodation AS SOON AS POSSIBLE. Bookings for June have only just started so be quick as the hostel fills up quickly around large events.
4) Book your flights as soon as possible to minimise travel costs.
Please note that GridPP will fund approved people up to a limit of £550. This is more than my estimate of costs which are: Flight £100; Other transport £50; CERN hostel (55CHF per day) £122 and CERN subsistence (currently a maximum of 87CHF per day) £193. This gives a total of £465. Note that if you go above the £550 limit (for example if you end up in an expensive hotel due to late booking) you will need to find alternative funding for the excess.
If you have any questions about the above procedure please let me know. In the meantime please act quickly!
One final request: During the tutorial days we are likely to have several hours for UK specific training. If there are any areas you would like covered please let me know. One example is configuring schedulers.
Kind regards,
Jeremy
