Hi Ingrid,

Is there the usual requirement to store the requests for 6 years?  So if
we are storing the requests in email folders, do we need to keep 6 years
of requests in those folders?  Or is it necessary to print them off and
store them?

Or are all the requests stored centrally in some mysterious way after
the user clicks to accept the copyright statement?

I know this overlaps with Chris Thornton's question posted to LIHNN
yesterday about storage times.  Did anyone have an answer to that?

Subject: Dialog eLinks ILL pilot - continued Cumbria and Lancashire
rollout

Hello everyone
The Dialog eLinks ILL pilot continues to rollout in Cumbria and
Lancashire and to date, we have 35 sites on board which is brilliant.
Well done everyone! For those sites who have joined already, please do
not forget to revisit the eLinks Manager site now and again to check for
new ILL partners under the 'Select ILL partners tab'.  

I would still like to see more sites joining, so please don't forget to
login to Dialog eLinks and switch on your ILL functionality. 
Greater Manchester sites, we can begin rollout next week (week beginning
the  30th Oct) as roll out has gone smoothly to date for the other 2
areas. Any Cheshire and Mersey and Cumbria and Lancs sites who want to
join later are welcome to do so.  

Instructions for how to get started can also be found at:
http://www.aditus.nhs.uk/Aditus/Help/default.htm under the Dialog eLinks
Help for Librarians section. You will also find a useful 'Request
Journey' PDF and Powerpoint file which not only shows how the system
works, it also shows you what you need to do. The PDF is much smaller in
file size incidentally. I have been asked about data protection issues
around including the user details in the request to the supply library.
I can confirm that the template in the presentation document is an old
one, and that user details are no longer in the template in use on
eLinks. 

We now have links to 2 feedback forms for this pilot; one for technical
queries and one for general comments, also in the eLinks help area on
Aditus. Please feel free to use these forms and I welcome all feedback,
good and bad!  

The eagle eyed amongst you may spot a new tab in the ILL setup which is
called 'copyright declaration'. This is a new addition by Dialog and
allows for localisation of the message, however I would strongly suggest
that you do *not* enter or change anything in this tab as the copyright
declaration currently in use is our standard one. 
You will also notice that the actual eLinks have been updated and they
are now clearer as to their type.

The pilot will finish on the 30th of November. Once the pilot is closed,
you can decide if you want to continue to use the system. 


Evaluation of requests -
Please keep a tally of the amount of requests fulfilled using this
system for both your local holdings, and for ILL requests. 
You should keep a copy of your requests exactly as you would do using a
paper based system i.e. you can either store your email requests in
email folders, or print the requests off to store with your paper based
requests. 

Copyright considerations -
In order to comply with 'library privilege', any submitted ILL request
presents the user with the standard copyright declaration form which
they must accept before the request is submitted. Failure to accept the
agreement results in cancellation of the ILL request. 

What you need to do now-
Follow the instructions on Aditus at:
http://www.aditus.nhs.uk/Aditus/Help/default.htm under the eLinks Help
for Librarians section (also attached) .  Please note that I only want
Cumbria and Lancashire institutions to enable ILL functionality at the
moment. 

Please dont forget to check back later in the week to add more ILL
partners.
