Dundee follows a similar set of procedures as outlined by others, but we
use "copyinto" now. We are now on 7.1 in production. Our central unit
manages the rollover.
Although we could utilise totally automatic rollovers, we have
developed a flexible system that includes a "healthcheck" and an
approach that permits those disciplines with specialist requirements to
intervene during the rollovers and have their new year modules tailored
to their needs.
1. Previous years modules remain available to existing students
(maintained for 4 years, level 1, 3 years level 2, 2 years level 3, 2
years level 4, then archived off the server).
2. New modules created in discipline batches using snapshot "copyinto"
approach. This creates new modules from last years module as a template,
includes the discussion board topics and threads, drops the posts, and
drops all the users. This is the configuration most staff prefer.
3. Staff assignments (within a snapshot system) can be copied over in
batch changing the year flag with a global search and replace, or edited
individually.
4. New student enrolments start each year on a new DSK and are created
automatically from our SMS (via snapshot) or through our flexible
web-based enrolment system (also via snapshot).
A number of issues crop up during the rollovers, and these include the
need to redeploy links to QM assessments, remove limited copyright
purchased material from non-current year modules, assignment clearout
and additional, often building block related, link removal (e.g.
plagiarism detection, wikis, blogs, portfolio shares).

Hi all.
Just a general question regarding how the rest of you BB veterans
handle
Roll over?
Do you get your staff to recycle courses and then just reassign
students to
them?
Do you archive them all, then recycle them all? etc.
If you can give me some advice I would be very grateful!!
