Hello everyone
Dialog eLinks ILL pilot - Cumbria and Lancashire rollout
We are now ready to continue our roll out of the Dialog eLinks ILL pilot
to all sites in Cumbria and Lancashire.
Please do not worry if you have staff shortages which may prevent you
from getting onboard this week, you are welcome to join in when you can.
This also applies to any Cheshire and Merseyside sites, and those
Greater Manchester sites who may not be able to join in during their
'slot' in 2 weeks time.
Instructions for how to get started are attached and can also be found
at: http://www.aditus.nhs.uk/Aditus/Help/default.htm under the Dialog
eLinks Help for Librarians section. You will also find a useful 'Request
Journey' PDF (also attached) and Powerpoint file which not only shows
how the system works, it also shows you what you need to do. The PDF is
much smaller in file size incidentally.
We now have links to 2 feedback forms for this pilot; one for technical
queries and one for general comments. Please feel free to use these
forms and I welcome all feedback, good and bad!
The eagle eyed amongst you may spot a new tab in the ILL setup which is
called 'copyright declaration'. This is a new addition by Dialog and
allows for localisation of the message, however I would strongly suggest
that you do *not* enter or change anything in this tab as the copyright
declaration currently in use is our standard one. You will also notice
that the actual eLinks have been updated and they are now clearer as to
their type.
The pilot will finish on the 30th of November. Once the pilot is closed,
you can decide if you want to continue to use the system.
What you need to know -
It is important to remember that this is a pilot. As such, the system
has been developed to an NHS specification and known bugs have been
ironed out in response to earlier testing completed by the LIHNN ILL
Group. All our previous requirements have now been tested and signed
off.
No further development will take place during the pilot.
The purpose of the pilot is to assess the potential of the Dialog eLinks
product as an electronic document delivery system. Therefore, due to the
nature of this project we anticipate that you may have feedback and a
'wish list' for features improvements. You may also experience some
technical issues.
What to do if you have a technical issue - Please use the eLinks
Technical Feedback form to notify me (Ingrid Evans) providing as much
information as possible. NB If an acute technical issue arises which
severely impairs the user experience, the situation will be assessed and
appropriate action will be taken. I will receive all emails and liaise
with Dialog technical support.
What to do if you have non-technical feedback and comments - If you have
non-technical issues such as comments around features, wording, or
non-essential functionality, please use the eLinks Comments feedback
form. I will collate all comments and pass these on to Dialog support.
What you need to consider -
You may experience increased traffic from your end users requesting
articles from you. Please bear in mind that there may be a user 'novelty
value' issue at first, so I would strongly recommend that we stick with
the duration of the pilot until the 30th of November so we can
accurately assess use of the system over a period of time.
Please make your end users aware of this pilot.
The library details page on eLinks has a comments field where you can
make users aware of your own library procedures. i.e. you could add
explanatory text here that says that you expect users to come and
collect their requests, or that you will post requests out etc. ILL
request emails also contain your user 's contact details so you can
contact them about their request should you need to.
It is also important to include information in the library charging
information field in the same library details area.
ILL protocol -
You should continue to use the same protocol for this system as you do
with a paper based ILL system. The existing LIHNN ILL protocol is
available on Aditus.
One specific issue to bear in mind is storage of requests, which you
should continue to do. I would suggest that you create a monthly
'requests fulfilled' folder in your email client and save all requests
here. Each Dialog ILL request has a unique ID number for easy tracking.
At the end of the month, you could archive your requests folder. Please
consult your email client help menu for details of how to do this.
Alternatively you could print out your requests and store them in the
usual manner.
Evaluation of requests -
Please keep a tally of the amount of requests fulfilled using this
system for both your local holdings, and for ILL requests.
Copyright considerations -
In order to comply with 'library privilege', any submitted ILL request
presents the user with the standard copyright declaration form which
they must accept before the request is submitted. Failure to accept the
agreement results in cancellation of the ILL request.

for Librarians section (also attached) . Please note that I only want
Cumbria and Lancashire institutions to enable ILL functionality at the
moment.
