The meeting will be followed by wine and mince pies from about 5.00pm.
The meeting will include a discussion of the proposed TIG website, so if you have strong views on what should or should not be included do please do come along.
Thanks to Niky Rathbone, we are hoping to organise a trip to Birmingham Rep in the new year (my apologies for not getting this off the ground sooner), and all other ideas for visits and speakers would be much appreciated.

Minutes of the meeting held at the Theatre Museum Collections Store, Blythe House, 20th September 2005 at 4.30pm

The meeting was preceded by a tour following the relocation of research facilities and staff from the Museum in Covent Garden. All that remained at the Museum were the displays, education facilities including the video viewing facilities and the shop. The research collections were divided between this store and the V&A store at Battersea. Blythe House contained all works on paper, the library, costumes and videos. The Blythe House Reading Room had been upgraded and there were improved storage facilities for costume. Since the store was already full, additional low level racks had been built between existing stacks to accommodate the book stock. The transfer had taken longer than expected, but the Reading opened on time and self-service photocopying facilities will soon be available.

05/3/5 MLA Subject Specialist Network Project
David Tomkins has been appointed to run the project. A working group was set up in May to discuss tactics. Membership includes the National Resource Centre for Dance, the University of Bristol, the National Theatre, the Royal Opera House, and the Shakespeare Centre. The project is a feasibility study for a standard description for a Theatre Productions Database and the creation of a TIG website. It is hoped to report back by the end of the financial year.

Report on 'New media collections', Stratford-upon -Avon, August 2005
A successful day. Issues that emerged were the need for formal professional advice, and the need to quantify problems followed by training and buying in expertise. The next step is to set up a working group. The University of Bristol have interesting initiatives which could be helpful. Jo Elsworth's list of multimedia information sources has already been circulated. The prospective TIG website could be used to direct members to relevant sources.

The Chair asked for ideas and offers for future meetings. Suggestions included the Birmingham Repertory Theatre, the London Coliseum (tour), the Jerwood Library for the Performing Arts and the Mander and Mitchenson Collection. Kristy Davis thought it would be possible to visit the latter around the time of the launch of the database in December.
Jane Fowler offered Laban for a future meeting.

Claire Hudson reported the following:
The IFTR had approved changes to the bulletin web-site at a recent executive meeting.
She had attended the Curators' Round Table at Harvard in July. As well as meeting North American colleagues, she had been able to confer with UK contacts including Francesca Franchi (Royal Opera House), Richard Mangan (Mander and Mitchenson), Marcus Riddell (Garrick Club Library).
Invitations for papers for the Vienna Conference will go out in November. The theme of the conference is 'How Libraries and Archives promote and make themselves accessible to their users'. The dates are 28 September - 1 October 2006 at the Art History Museum. It was hoped to attract delegates from Eastern Europe.
A new leaflet on SIBMAS was circulated. It had been organised by Rosy Runciman and funded by the Cameron Mackintosh Foundation.
The President's newsletter will be sent out shortly.

Helen Smith The Henry Irving Foundation are hoping to create a database of his correspondence and need advice on small databases.
Niky Rathbone Gale Thomson Publishers had relaunched their Shakespeare website to include a prompt book series. The Birmingham Public Library web pages have some images of major plays for downloading. Stephanie Locke is continuing adding material to the Birmingham Repertory Theatre website.
Graeme Cruickshank Archive files of the Save London Theatre Campaign had been deposited at the Theatre Museum. In the absence of Mike Ostler, the winter programme of the STR was circulated. A relevant event is 'The AHRC British Library Theatre Archive Project (2003-8): at the halfway point' by Dominic Shellard and Ewan Jeffrey, 23 March 2006 at the Art Workers Guild.
Michael Werner The Barry Kay archive consists of all items, other than those in public collections. The designs are now sorted and a website has been created. Advice is required on sources of funding so that the archive can be maintained and made accessible for research.
Sarah Jardine-Willoughby The Tottenham Campus is now closed. Material has been relocated, but it was necessary to enforce a strict withdrawals policy. All courses are full for the coming academic year.
Rachael Hayes The cataloguing of accessories is underway. All operas and ballets from 1946 are listed on the database. This season's exhibitions are Maria Callas, Mozart and Michael Tippett.
Mark Fox Four playhouses have been sold: the Apollo, Lyric, Duchess and Garrick. The Gielgud will be controlled by Cameron Mackintosh from next year. There is no decision on the future of archive material relating to these theatres, but it is secure at the moment.
Kristy Davis Cataloguing is on schedule and will finish by 31 January 2006. It is hoped there will be a launch in December. Richard Mangan is seeking funding for an assistant curator.
Jane Pritchard
ENB. Wayne Eagling has been appointed Artistic Director. The Archive will move to the set and costume store in Kent in 18 months time. A cataloguer will be appointed for one year, and CALM will be purchased.
Rambert. The proposed new building has a designated archive space in the basement. Rambert's wardrobe is catalogued. The Robin Wilson Collection is being sorted. Rambert's photographs and music have been acquired.
The London Contemporary Dance video material has been distributed to the National Resource Centre for Dance and Laban.
Jane Fowler Laban had hosted the ICKL Conference. There were presentations on international archive collections relating to Laban. CALM has been purchased and training has taken place. The creative process of 'Transitions' an in-house company was being recorded by an intern. Trinity College of Music was collaborating on a feasibility study for a new building to house the archive.
Claire Hudson The relocation has taken place. James Fowler's book 'Unleashing Britain' will be published in October. The V&A application to the Heritage Lottery Fund for £100,000 includes funds for the documentation of ethnic performance for educational purposes.
The URL for Theatre Index will be circulated. The Theatre Museum website offers a daily update on key happenings in the performing arts: see www.theatremuseum.org and click on News and Views.
Rosy Runciman (by email) Delfont/Mackintosh Theatres start to run the Wyndhams and Albery from September 19th 2005. The Albery will be closed for renovation at the end of 2006 and will reopen as the Noel Coward. The Strand/Novello opens with the RSC in December. Rosy will be mounting picture exhibitions in all three theatres. 'Les Miserables' celebrates its 20th birthday on October 8th.
Cordula Treml (by email) The cataloguing of the Michael le Poer Trench photographic collection is continuing and will finish by the end of February 2005 hopefully. An Archive website is planned for launch at the same time.
