We are currently reviewing the retention of certain categories of records
and would appreciate comments on the following:
1) Personnel/personal files of ex-employees.
All the guidelines I have checked quote a retention of termination plus 6
years unless the individual worked with children (or vulnerable adults?)
when a retention of termination plus 25 years is quoted. A suggestion has
been made that we should keep these records for 15 years rather than 6, as
this is the maximum period within which an insurance claim can be made. This
seems rather excessive?
2) Registers of councillors' interests.
How long should these be retained once a councillor has left? When, if at
all, should they be transferred to the archive and what closure period
should be applied?
I would be grateful for any advice on the above, especially from other local
authorities.
