Dear all,
Following on from the agreement reached yesterday at the PAS project
board advisory group, data transfer has been agreed subject to terms and
conditions which your HER/SMR will have to agree to before any data is
transferred. This will be reaching your responsible parties soon.
The data that the PAS will supply will be provided by means of a logon
to the PAS system, with an XML export routine configured to allow for
data dumps for your specific areas. For example, Gloucestershire will
log on and gain access to all records which are publically available on
the web. They will have no access to finds data from outside their
county; however, if data has been generated by an FLO in
Northamptonshire, but has a provenance as Glos. then you will be able to
retrieve that data as well.
The data will be provided in XML, formatted to the MIDAS XML Schema for
the recording of small finds or portable antiquities. OAD have been
commissioned by the PAS to design and implement this schema and export
routine in consultation with the PAS, EH and other stakeholders.
HERs will be able to retrieve data as (in)frequently as they desire, and
all actions will be fully audited by the PAS system to maintain system
security. This Artefact XML Export facility is intended to be in place
and undergoing testing by the end of June. No data transfer will occur
prior to this date, except with a trial user group. When the system is
fully operational thereafter, there should be no need for direct
interaction between PAS staff and the HER member to gain access to this
data, other than the initial creation of a user account and security access.
The PAS does have provision for SMR references within our database
schema at present; however, this is not used by the majority of
authorities. It would have been a pointless and unpleasant task to
duplicate effort and enter PAS records onto the HER, when data transfer
has always been imminent (even if forestalled by
ALGAO/NCMD/CBA/PAS wrangling). Therefore there may be a minor amount of
duplication within the two datasets but concordance should not be viewed
as a major issue.
