I'm currently doing the same thing, patient info is locally produced by
depts and published by individual depts. To start this I'm carrying out
an audit to gather all the patient info. To help in this I've built a
MSAccess database which stores the details of author, unit (leaflet),
PIG (patient information group), the publisher, and the wards/department
- each unit is assigned a unique number and from this I can generate
reports based on author, ward/depts, publishers, review dates etc. Once
the leaflets have being identified and (in most cases) put into correct
template form and PIG passed they are assigned a registry number from
information services - the registry number is generated by the trust
document register - this way the leaflet can be tracked / catalogued as
a trust document.
I'm in the process of buying 'Intouch with Health's' - PIMS (patient
information management system) that is a externally hosted database
driven piece of software which provides leaflet tracking, approval
feedback loops, and archiving facilities, it also allow print tracking
which means I can quantify the financial pressure that patient
information puts on individual depts. The system delivers the
information leaflets via the internet and provides multi-level access -
so for instance only named consultants can access sensitive consent info
but everybody can access information about car parking etc.
The leaflets will be classified by reg number, title, Active/Archived,
specialty, medical / clinical, general / consent. I'm still working on a
final way to classifying system though the register number and specialty
will play the major roles in this.
Some information such as cancer care cross many specialties and will
prove the base for all classification.
I'd like anymore ideas on this to as this is a project in process and
subject indexing as never being one of my favorite tasks!
