Dear Ann,
From a confidentuallity point, the individual has a right to know what is
being written about them.
When I see any employee and need to write a report to the manager, I write
out what is going to be sent to the manager then read it back to the person
in question, They can at this point say whether they are happy with what has
been written or suggest changes. I will always change anything if they are
not happy. I then give this written report to my Admin Officer for typing,
this saves a lot of time. I also have had the HR department say this should
not be done, but I insist I will not send them any information unless the
employee has given their consent. I do not get written consent as I consider
verbal consent adequate and They can always have a copy of any report I
write on request.
