Dear all,
Just a couple of points regarding scanning onto CD-ROM. Do you have
any guarantees that you will have the hardware/ software for retrieval
of records in the future (say after several years)? If you have to buy
commercial software to view/ print records, will you have to buy an
annual license and additional upgrade costs? What will happen when CD
ROMS become obsolete?
As you can tell, I'm a little sceptical about this issue. We have gone
down this route too and have already been stung for a request for
upgrade fees after a couple of years.
I have more faith in retaining hard copies e.g. on microfiche like the
medical records department at our Trust.

Scanning them onto CD rom is what I have recently done for old records.
Got
a written assurance of confidentiality from the company, including
reference
to disposal of the paper records once scanned before starting. Not
expensive really either Lots of NHS Trusts scan records now so your
local
NHS Trust or IT person may be able to give you a local company to
contact.
This method allows you to keep the CD's of records and therefore look
them
up and print them off quickly if needed. Past experience several years
ago
with microfiches records showed that the printed records you can get
back
from a microfiches to be rather dark and not great quality but maybe
that's
improved.
