Dear all,
A few weeks ago I posted a message asking for information on donations
policies and I thought I would summarise what I received for the list.
I received 15 replies and the main points are listed below:
1.The Library reserves the right to accept or refuse prospective
donations, acceptance at the discretion of the
Librarian
2.All donations should be relevant
3.No restrictions by the donor will be accepted
4.The university encourages all academic staff to donate a copy of any
academic publication written or edited
by them to the University library
5.Library should balance the value of the donation against the costs of
cataloguing, processing, storing and
conserving the material
6.The donor should prepare a list of documents for donation
7.Where more than twenty items are involved donations can only be
brought to the library by prior arrangement
with the subject librarian.
8.Donations accepted become the exclusive and absolute property of the
university
9.The library reserves the right to dispose of donations not required,
by any method (destruction, book aid, sale
etc) (ethically dispose of)
10. Items should not duplicate what we already have in stock.
11. Acceptance guidelines: a) impact on and congruity with existing
holdings, b) physical condition of material,
c)cost implications
12.Copies of in-house publications produced with the aid of new
technologies should be deposited in the
University library
13.Standard letter of thanks for donations
14.Runs of periodicals are generally less desirable as donations unless
they fill in gaps in existing college
collections
15.All donations are either added to stock or put in a book sale, all
proceeds to the library. At year end any
remaining are passed to charities or destroyed.
