Subject: Data Retention Audit case study
As part of our research at UMIST, we have developed a framework that
manages the retention of personal information in databases. We are
looking for test cases to apply this work by performing a data retention
audit in a real case.
The overall aim of the retention audit is to apply the organisational
retention policies to database objects through the use of the developed
framework. This exercise not only addresses the issues of data
protection compliance but also data/information management.
The retention audit is geared towards database systems only. It is not
an audit of the records you hold e.g. records inventory. Its main aim is
the mapping of the retention actions specified in the organisational
retention schedule to database records. The retention audit can be
broken down into three broad steps. Analysis of the organisational
retention schedule, analysis of the proprietary database systems and
mapping of retention schedules to database records.
The people who will need to be involved are the data protection officer
and the IT Officer/Database Administrator.
The result of the audit will be a presentation of the audit results
complete with recommendations on how to deal with retention in
databases. The presentation will also include a workshop showing how the
methodology has been applied.
