Yes good point. However the purpose of having such a policy for WCC is to
make it clear throughout the organization that electronic records are
corporate records and should be managed properly in the same way that we
manage our paper records. At the moment this is not always the case. I
should make it clear that we are currently revising and expanding our
current retention schedule to cover all sections by 2005 and to include all
records in paper and electronic format. There will not be a separate
distinction made for records in electronic format, retention periods will
apply according to the information contained in it and not the format.
Most comments I received off-list, other than John Gervais' offer of
policies, were just to let people know what I had received. One other
queried the use of a separate email policy. Again I should emphasize that it
is an email usage policy rather than a records retention policy to which
obviously the former applies in that email are not separated out but
included within relevant record series. Other suggestions I received were to
look on US, Canadian and Australian website, which I shall do.
