JOB TITLE
Project Co-ordinator: Digitisation Project
Reports to: Senior Fundraiser
Works closely with: Finance Director, external software developers,
Curator, Exhibitions Assistant, Education Assistant, Events & Marketing
Officer, Commercial Manager, catalogue researcher
BACKGROUND
Dulwich Picture Gallery is the oldest public art gallery in the country. The
building, designed by Sir John Soane in 1811, houses a world-class
collection of 17th- and 18th-century old master paintings and furniture. The
reserve collection includes paintings, drawings and silverware. The Gallery
mounts three or four loan exhibitions a year and has active education and
conservation programmes.
The Gallery has recently been awarded a grant from Resource: The Council for
Museums, Archives and Libraries to digitise the collection, create a
collections management system and a new website to showcase the Gallery's
work.
PURPOSE OF THE JOB
Reporting to the Senior Fundraiser, the Project Co-ordinator will work to
ensure the smooth running of the £65,000 project.
The work involves researching comparable projects and liaising with all
departments in the Gallery to communicate their needs to the contracted
software developers. It will also involve ensuring deadlines are met,
budgets kept and industry standards adhered to.
The post is also responsible for creating an image library of 850 objects,
mostly from scanning from existing prints. She/he will oversee the purchase
of equipment for this purpose.
The post carries no staff management responsibility but there may be the
opportunity to manage a volunteer.
MAIN DUTIES
External Contractors
(i) Assist the Finance Director and Senior Fundraiser in assessing tender
documents and appointing an external developer.
(ii) Assist in agreeing a development plan with the appointed contractor.
(iii) Ensure deadlines, budgets and standards are adhered to throughout the
project and that individual departmental needs are met by the developers.
(iv) Manage focus groups at crucial stages in the project and assess user
feedback.
Digitisation of the collection
(v) Assess curatorial needs for a collections management system and
communicate this to the software developers.
(vi) Liaise closely with catalogue researcher to ensure that the collections
management system will suit new research on the collection.
(vii) Research and oversee the purchasing of hardware, including a new
computer, scanner and networking a computer point in the library.
(viii) Research digitisation best practice and scan images from prints to
create a digital image library of the collection.
Administration
(ix) Monitor the project closely and write a clear and detailed project
report for submission to Resource.
(x) Write progress reports for Senior Fundraiser and Resource when required.
(xi) Possibility of volunteer management.
Other
Carry out other duties as required by the Senior Fundraiser, Finance
Director or the Curator.
PERSON SPECIFICATION
Essential attributes
* ICT literacy and in proven experience with databases, websites, imaging
software, email and scanning
* Experience in managing projects
* Excellent oral and written communication skills
* Ability to prioritise and meet tight deadlines
* Discretion in dealing with confidential matters
* Able to work on own initiative
* Keen interest in the work of the Gallery and enthusiasm for all aspects of
its work
* Educated to degree level
Desirable attributes
* Experience of working in an arts organisation
* Qualification in information and communication technology
* Experience in managing focus groups
TERMS AND CONDITIONS
The post is a one-year contract paying £19,000.
Working hours: 9 to 5 Monday to Friday with one hour break for lunch.
Leave entitlement: 25 working days, 2 additional days at Christmas in
addition to statutory holidays.
