HIGHER EDUCATION INSTITUTIONS DATABASE - Data Collection Application
During week commencing 19th January 2004, we intend to send you the Data
Collection Application CD-ROM. This will ensure that we receive a complete
database of all available course information across all HEI’s. To help you
it includes the facility to download course information direct from your
own system.
A comprehensive User Manual is included on the CD-ROM in the documentation
directory. We urge you to read the User Manual prior to commencing work,
as we have incorporated important enhancements this year and by doing so
you may save yourself some unnecessary work. The enhancements will improve
the system overall not only for HEIs and LEAs but also for students who
will be able to apply on line in AY 04/05 and as a result will for the
first time, be able to see the course data you provide. These enhancements
will also ensure a consistent approach across all HEI’s.
The improvements relate primarily to validation rules and standards, some
examples are:
· If the HEI attempts to provide a UCAS course code for a course which
is a non-UCAS course, the system will reject the course.
· If the term dates are not consistent with the number of years the
course has to run, the system will reject the data.
· If a campus or location has no open courses linked to it the system
will insist that the location is closed down.
We would ask that the completed files be returned to SLC no later than 16th
February 2004. If you are unable to meet this deadline, please advise us
when we can expect to receive your return.
Some HEI’s may not have definitive course information for all courses at
this time. However, details, even if they are provisional, should still be
included to ensure that students applying for funding for this course can
be processed. If, at a later date the course details are amended or the
course is withdrawn, then the database can be amended. Without information
on all courses being available to Award Authorities when assessing
students, temporary course codes will be used and all associated problems
will be repeated. By returning your data as accurately as possible and
within timescales, this can be prevented.
Once the data is received we will upload this information to the central
database and a receipt will be sent to you. It is essential that you do not
delete the data or application from your system until we have confirmed
successful processing.
The Student Loans Company is committed to delivering the highest standards

deliver the required level of service without the close partnership of the
Higher Education Institutions and the Award Authorities. By submitting
accurate data on time, in the right format, Higher Education Institutions
help to ensure the Student Support Scheme is delivered with the efficiency
that students deserve. Once again, we would like to thank you for your
