Thanks to all those who have offered suggestions to my message. You've
unearthed problems I wasn't aware of! The issues I had in mind were:
1) in systems like CALM2000, you do seem to be able to attach as many
original digital files as you wish (both images and text documents),
however these are then considered "fields" within the catalogue entry
and the maximum limit of fields you can have in an entry is around 500.
As a consequence this limits the number of digital files you can attach
to an entry (you might want to attach 400+ digital files at item level
within a Collection Level Description record)
2) we are going to digitise a lot of text documents (extracts from
poetry, prose, playscripts, manuscripts etc...). If these are simply
attached to the catalogue entry by establishing a link to their file
location, ie they are not strictly contained in the archive catalogue,
then the digitised text is not searchable through the catalogue. For it
to be searchable, one would have to cut and paste the full digitised
text in a "field" within the catalogue entry. But I'm not sure I'd want
to cut & paste hundreds of digitised text pages in the archive
catalogue...
Has anyone had to think of these issues? In terms of speed, would
attaching a great number of files to the same record decrease the speed
of a search? And would it be preferable for all digitised text to be
searchable through a free text search or just have an abstract and
keywords within the catalogue entry which are searchable?

I do know of a couple of museums that are using CALM2000 and I also
know that there is a CALM 2000 newsgroup/mailing list. If you want me
to get them in contact with you, please just say, but I would not be
surprised if you get lots of help from other users on this list.
There certainly are issues with attaching multiple images to the same
record.....in many Collection Management Systems and Image Management
Systems it can be very hard and a right pain to do. I believe that
there are some systems that can, but I could not tell you one
immediately off hand.
That is too say different images! onto the same record......
There are a few Image Management Systems (IMS) that can create and store
an 'image pack' of a range of delivery surrogates (and even the master
archive) all relating to the same catalogue entry, but these are not
different images just different sized versions of the same image.
The problem comes when you want to attach a range of images (views) of
the original to the same catalogue entry (record). The problem is that
most IMS and many CMS consider the image as the key 'item' to the
database and therefore by definition there is a only one image to each
record.
I hope these issues are the ones you are worried about <G> and if so do
keep in contact as I would love to hear about how you get around this
little conundrum.
