JOB DESCRIPTION -YOUNG PEOPLE’S PROGRAMME ADMINISTRATIVE ASSISTANT
The Young People’s Programme administrative assistant will be part of the
team delivering and developing the young people’s programme of the BA.
Current activities in the young people’s programme are leading award
schemes - First and Young Investigators, CREST and Science Communicators -
and events and activities including baysday, Visions, the BA CREST Science
Fair and Backchat at the BA Festival of Science. The Young People’s
Programme Assistant will be involved in supporting these activities. The
post reports to the Young People’s Programme Manager and is one of two
administrative assistants in the team..
Responsibilities will include:
supporting the Young People’s Programme Manager by devising administrative
procedures to support the team and maximise its effectiveness, in
particular facilitating written and oral communication, managing diaries,
managing telephone cover, welcoming visitors etc
supporting the activities of other team members and prioritising tasks
effectively
arranging meetings within the team and with the many external individuals
associated with the BA’s young people’s programme
word processing of letters, records of meetings and other documents as
required by the team
database entry and management of programme entries for Science Year events
and activities
database management for other smaller events
covering the office in the event of absence of other team members
working closely and cooperatively with the other Administrative Assistant
in the division and in other divisions
actively participating in the young people’s programme team within the BA
other tasks as required by the Young People’s Programme Manager and other
team members
The post is full time and the contract is offered on a three-year basis in
the first instance.
From time to time the job entails working extended hours and occasional
weekends.
PERSON SPECIFICATION
Skills required:
ability to work with Microsoft Office in particular use of Access to
construct, maintain and interrogate simple databases, and Word to prepare
letters, draft documents and design simple layouts. A working knowledge of
PowerPoint would be helpful.

a good telephone manner
an ability to provide practical help at events
an ability to research ideas and source people and things
have an understanding of the current science education community and the
