In a way we have a similar problem to the SLC and LEAs - in that we have a
single system as far as our course codes are concerned - i.e. the
Admissions, Student Records, and Student Fees systems all use the same
codes. We have decided, therefore, to make a global change to all our
systems to update all course codes, in reference tables and in student
records, to the new codes. This will be timed so that we complete the
intake of new students (under old codes) in September 2001, and before we
start receiving the new UCAS applications (under new codes) for the
2001/2002 cycle. I think that we will probably keep a record, at least in
the reference tables, of what the old code was and so could if necessary use
that to provide info to SLC/LEAs. Our preferred solution, however, would be
for them to update all their tables to use just the new codes.
I should just add that we will map the new JACS codes to the old HESA codes
for 2001/2 and change those in advance of the December 2002 return.
I'd certainly be interested to find out about other institutions' approaches
to this problem.
Why the h**l we as a community ever allowed ourselves to be lumbered with
this nonsensical and, to my mind, totally unnecessary change I'll never
understand.

I am due to go to a meeting at the DfES tomorrow to discuss solutions to the
problem the during 2001-2 the SLC and LEAs will have to use both UCAS codes
and JACS codes simultaneously in the administration of student support.
My belief is that during the year we will have to use the new JACS codes in
our admissions systems, we will use the new JACS codes for the December 2002
HESA return. Since for most the admissions system can be kept separate from
the current students, we have a manageable problem. The difficulty for the
SLC and LEAs is that within their single systems they will have to deal with
both old codes (in respect of current students) and new JACS codes for
applicants.
The DfES has asked me gather any information I can on how HEIs are dealing
with these changes particularly for continuing students. Does anyone have a
view of the HE position which varies from mine? and does anyone have any
clever ideas for a solution to the student support problem?
