Good point Chris. Fieldwork reports might be deposited by contractors with
an SMR under a deposit licence which makes provisions for the contractors
copyright and the SMRs ability to disseminate the reports to third parties
(whether by photocopying or on a web site). An example of a deposit licence
is the one used by the ADS, which enables them to disseminate various forms
of digital data.

Whilst there are clearly many advantages to being able to photocopy
unpublished reports, and even to post them on a web site; bear in mind that
all such reports are subject to copyright.

We are now storing digital copies of all such reports on the server
and
hyperlinking them to the SMR so they can be accessed by anyone looking at
the database. We still hold to the principle that the SMR is a public
record, developed at public expense and available for people to consult in
person free of charge during office hours. What we do charge for is staff
time, print-outs and photocopies supplied.
I hope eventually to make 'grey literature' available via our web
site.
This already includes interim reports and project designs for our field
school at Easter Raitts. I hope this is of some interest...!

Has anyone looked into the practicalities of providing enquirers to the
SMR with photocopies of reports commissioned as part of the planning
process. We already charge commercial oganisations for access to SMR
information (printouts and plots from the GIS) but we are trying to
expand the revenue raised by the SMR by looking at the various other
sources of information that people may be interested in. At the same time
we are tightening procedures so, before we impliment new or increased
charges for other datasets we would be very grateful to hear of any
issues that other SMRs have come across.
